Job Description

POSITION OBJECTIVE

The Assistant Director of Residence Life serves as the facilitator of the residential experience (termed the Independent Living Experience) for upperclass students living in apartment facilities at Case Western Reserve University managed by third-party property groups. Supervising 3 to 4 Graduate Resident Directors (GRD) and 1 to 2 Summer Interns, the assistant director supports 380 to 500 academic year upperclass students and 250 to 350 students during the summer experience. As a member of the Office of Residence Life, the assistant director supports a program of over 4,300 students in over 42 buildings with an operating budget of approximately $2.2 million by creating, implementing, maintaining, and providing training on all Residence Life policies and procedures. Additionally, the assistant director serves on the senior staff on-call rotation.

ESSENTIAL FUNCTIONS

  1. Provide strategic leadership and direction to a community of approximately 380 to 500 upperclass students living in third-party managed apartment facilities. Act as an indirect contact for upperclass students, monitoring and supporting their holistic academic, social, and personal development throughout their residential experience. During the summer session, guide summer interns in providing leadership and direction to a community of approximately 250 to 350 students in the summer experience. Ensure summer staff have direct contact with summer students, monitoring and supporting their holistic academic, social, and personal development throughout their residential summer experience. (15%)
  2. Recruit, select, train, supervise, and develop 3 to 4 Graduate Residential Directors (GRD) and 1 to 2 summer interns. Indirectly recruit, select, train, supervise, and develop approximately 7 to 10 summer Resident Assistants. Facilitate development of Intern and GRD confidence in their ability to be successful by meeting on a regular basis, sharing information and guiding them to make decisions on how objectives will be achieved and issues resolved in their assigned areas of responsibilities. Provide GRDs and Interns with clear expectations regarding organizational values and desired results. Establish ongoing clear and honest performance feedback. Collaboratively identify professional and self-development plans. Complete timely staff performance evaluations each semester. (15%)
  3. Assume leadership responsibility for our continuous, 24/7 departmental on-call system and departmental policy and procedure processes. Oversee, maintain, and review the department's various policies and procedures systems on a consistent basis. This includes annual updates to the Residence Life manual, on-call management guides, and Campus Groups resources. Coordinate yearly transition reports, on-call system logistics, and organize the department's shared and Google drives. (15%)
  4. Collaborate with the Office of University Housing, Facilities Services, and third-party entities to create environments that support resident development, ensure well-functioning residential facilities, and are responsive to resident concerns. Instruct and guide staff and residents in completing occupancy, room inventory, room change, work order, and facility emergency response procedures. (10%)
  5. Serve as a member of the department's leadership team. Work in tandem with the director, associate director, and assistant director in leading the office of Residence Life within the larger mission of the Division of Student Affairs, and design and implement an experience for students that underpins, supports and enhances the intended outcomes of the residential experience. Indirectly supervise 11 full-time and 120-130 graduate and undergraduate student staff. (10%)
  6. Maintain, manage, and execute a system of intervention and referral in collaboration with the Dean of Students Office to support the health, wellness, and safety of residential students through personal contacts with students and faculty and staff partners across campus. Serve in the senior staff on-call rotation and direct response to student crises for 4,300+ undergraduate students outside of business hours. Conduct educational intervention meetings with students reported to have violated the university standards of conduct. (10%)
  7. Promote individual student learning and growth and maintain the integrity of the Independent Living Experience residential community through policies and procedures in collaboration with the Office of Student Conduct and Community Standards, the Office of Equity, and the Office of Public Safety. Review all incident reports and police reports relevant to the Independent Living Experience community and determine necessary response for Independent Living Experience-related issues. Meet weekly with the Office of Student Conduct to review incidents, student conduct cases, and students of concern. Consult with relevant campus partners on conduct cases as appropriate. Serve as a hearing officer for Residence Life or Student Affairs conduct cases as needed. Communicate with other university staff to ensure that assigned sanctions are educationally appropriate and are completed in a timely way. (8%)
  8. Actively determine the needs and interests of upperclass students living in third-party managed apartment facilities and in collaboration with Student Affairs, Undergraduate Advising, Career Center, and other campus departments, implement a developmental, intentional, and comprehensive experience for a unique subset of the undergraduate population seeking to increase ownership and accountability for their individual success through less structured on-campus living. During summer, determine the needs and interests of summer residents to create residential communities that cultivate meaningful interactions and purposeful environments. (8%)
  9. Manage community budget, monitor expenses for the community, authorize routine expenditures, arrange for payment or reimbursement procedures, and maintain accurate records and oversight of financial expenditures within the budget. Perform generalized administrative tasks to support the community. (7%)

NONESSENTIAL FUNCTIONS

  1. Represent the department and university to other colleges and universities through participation in local, regional and national organizations. (1%)

CONTACTS

Department: Continuous contact with the Director of Residence Life, Associate Director of Residence Life, Assistant Director of Residence Life, and Administrative Assistant. Frequent contact with Residential Community Directors, Assistant Residential Community Directors, Department Assistant, and with direct reports.

University: Frequent contact with the Office of Student Affairs, the Dean of Students Office, Case Western Reserve University Police, University Health and Counseling Services, University Housing, Facilities Services, Disability Resources, Multicultural Affairs, LGBT Center, International Student Resources and Engagement, and Greek Life for the purposes of student support and addressing concerns, project planning and implementation, programming, community development, and assuring the smooth functioning of the Independent Living Experience Residential Community. Regular contact with Undergraduate Advising Support, faculty, and course instructors about student support and addressing concerns.

External: Frequent contact with Capstone On Campus Management and Cleveland Institute of Music for the purpose of maintaining residential space rented from them. Regular contact with parents and/or family members of students for the purpose of answering questions and discussing their concerns within FERPA guidelines. Periodic contact with outside vendors and services and members of regional and national professional organizations for the purposes of project planning and implementation, and professional development. Occasional contact with prospective students and their families for the purposes of providing information during open houses and other enrollment related programming.

Students: Continuous contact with undergraduate students for the purposes of student support and addressing concerns, programming, and ensuring the smooth functioning of the Independent Living Experience Community. Regular contact with the Residence Hall Association, community councils, and other student organizations for the purposes of programming, community development, and ensuring the smooth functioning of the Independent Living Experience Residential Community.

SUPERVISORY RESPONSIBILITY

No direct supervision of staff employees. Provide direct supervision for 2 to 4 graduate student staff employees and indirect supervision to 7 to 10 undergraduate student staff employees.

QUALIFICATIONS

Experience: 3 or more years of full-time professional experience in the field of residence life and/or housing required.

Education: Master's degree in an appropriate discipline required. Master's degree in Higher Education or student affairs preferred.

WORKING CONDITIONS

Typical office environment. Some weekend and evening hours are required. Position serves in an on-call rotation.

Hybrid Eligibility

This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
