PURPOSE OF POSITION
* The Office Coordinator coordinates patient and provider scheduling, supervises clerical staff,
and serves as an expert in coding and billing.


RESPONSIBILITIES & EXPECTATIONS
* Enter provider schedules in Cerner including office visits, consults, procedures, vacation days,
and meeting times.
* Monitor each provider's schedule on a daily/weekly basis to maintain a full and productive
schedule for each provider.
* Enter EMG appointments and maintain EMG wait list.
* Approve Kronos payroll for clerical staff.
* Schedule office visits and procedures.
* Triage phone calls to appropriate areas.
* Ensure front desk has change for petty cash drawer.
* Work closely with Revenue Integrity and CBO staff to ensue proper reimbursement is received in
a timely manner. Monitor days in A/R and other billing issues.
* Work closely with Revenue Integrity and CBO at the end of the year on new CPT or ICD-10 codes
that impact coding and billing.
* Educates providers on coding and billing rules.
* Communicate credentialing issues to providers.
* Proficient in all clerical roles. Provides gap coverage during breaks, vacations, and LOAs.
* Order copier supplies from COMDOC for all printers. Responsible for COMDOC service calls.
* Order urine drug screen supplies.
* Refer patients to patient outreach as needed.
* Responds during non-working hours as needed d/t changes in providers schedules. Reschedule
patient as needed.
* Assist Clinical Coordinator and Unit Director as needed.
* Conduct monthly clerical staff meetings.
* Assist with clerical performance evaluations.
* Participate in daily safety call.
* Maintain cost effectiveness and supply use.
* Informs the Unit Director of any significant problems or concerns.
* Functions as the resource person and coordinates the onboarding of new colleagues. Assists
colleagues in the development of business office skills.
* Assists with compliance of facility operations with federal, state, and local rules and regulations.
* Communicates with patients, patient families, customers, and other personnel in a professional
respectful, and courteous manner.
* Collaborates with the interdisciplinary team and other departments throughout the
organization.
* Maintains patient confidentiality.
* Supports strategic organizational goals.
* Abides by the Aultman Code of Conduct.
* Accepts additional duties as assigned by the Unit Director.

Job Requirements
* High school graduate
* AAPC Coding Certification
* Excellent interpersonal and oral/written communication skills; strong organizational and
problem- solving skills; ability to generate new idea and create a positive work environment.


WORKING CONDITIONS:
* Hours of operation, 6:30a-4:30p Monday-Friday, with variable start and end times. No
weekends or holidays.
* Lunch and break periods are coordinated with other staff members to maintain adequate
staffing on the unit.
* Subject to frequent interruptions and changes in priority of duties throughout the day.
* Subject to emergencies.
